In August of 2019, Facebook was the victim of a data breach that compromised information from 533 million people from 106 different countries. Why is this in the news now? Because the breach was addressed in a recent email from Facebook management, and that email was accidentally sent to a Belgium-based news outlet and, in that email, they don’t seem too concerned.

The information that was stolen included phone numbers, Facebook IDs, full names, birthdates, location information, biographical information, and even some email addresses. But Facebook feels that this didn’t need to be relayed to users, and they don’t plan on changing their minds about it. In fact, the email indicates that they are looking to normalize this type of incident.

It was part of a feature that no longer exists, they fixed the issue, and users couldn’t fix it themselves anyway. With doubt around whether or not users would even be successfully notified, they didn’t feel that there was a way to ensure the situation was remedied any further. As they seem to see it, they had already addressed it on their end, and there was nothing that could really be done by the general public. Seems like a “hey, what can you do, it’s going to happen” kind of response and they said as much in a blog post.

Yes, data breaches are so common now, we’ve no longer become phased when a large breach hits the headlines. That in itself is a problem, but when we stop reporting on it altogether, that makes it even worse. Are we admitting defeat? Or are we just saying that we’re ok living with it? Neither answer should be acceptable, and businesses should not be able to say that it is ok to be a part of their problem because it is just a “normal occurrence”.

How did Facebook react when the email was discovered? They confirmed it was genuine and told the BBC: “We understand people’s concerns, which is why we continue to strengthen our systems to make scraping from Facebook without our permission more difficult and go after the people behind it.” The spokesperson later added that LinkedIn and Clubhouse had also faced “data scraping” issues.

Look, it’s not just us, everyone has this problem.

But that doesn’t mean it is ok! We need to continually work together to ensure that our personal and professional information is protected through safe cybersecurity practices. It isn’t something that we see as negotiable, especially when the statistics show how likely a small business is to not survive a data breach.

Yes, data breaches are being normalized, but that doesn’t mean that we need to accept that as the new normal.

Purchasing new ones, however, isn’t your only option. Instead of buying new servers, you can leverage solutions that offer the same outcomes while saving you a lot of money.

When do my servers need to be replaced?

This is a difficult question, but there are two factors you will want to consider: age and performance. The useful life of a server is around three years. While it’s not unheard of for servers to function properly beyond year three, relying on them past this point can be risky, as hardware problems may occur more often. This means you will have to deal with costly repairs and possible sudden downtime.

In terms of performance, it doesn’t make sense to keep your servers around until year three if they are slow and too costly to maintain. It’s important to compare how much money you will lose in repairs and downtime versus the cost of buying new hardware.

Do I have an alternative to buying new servers?

Believe it or not, the answer to your server problems might not necessarily be purchasing more physical servers. One solution is to embrace server virtualization. This process allows your servers to be stored and maintained off-site, with all your resources being delivered to your office via the internet.

There are two notable benefits of virtualizing your servers. First, you don’t have to spend a ton of money on new equipment. Second, virtualization is a scalable technology, meaning you only pay for the data capacity you use. For instance, you can have just two and a half servers, if that’s all your business needs. This is in contrast to having physical equipment, which would require your business to either make do with two servers or splurge and buy a third one even if you didn’t need all of that space.

Of course, there are a few things you need to consider before making the switch to server virtualization. One of the biggest issues is security. Ask yourself if you feel comfortable keeping all of your data off-site. While this isn’t a concern for some companies, others may not see this as palatable. There are several workarounds to this issue, including the hybrid option where you keep sensitive data on-site and everything else off-site.

Can I do anything to prevent a full-scale server replacement?

Yes. It’s certainly possible for you to buy some time and give your current servers additional life, but these are short-term fixes, not long-term solutions. Server upgrades are a good place to start if your servers are less than three years old but are performing poorly. Installing additional CPUs or memory may increase server performance at a fraction of the cost of buying new servers.

It’s also possible to extend the life of servers that may have four or five years of wear-and-tear on them via repurposing. Instead of swapping out all of your servers, use the old ones for non-critical processes and purchase new ones to handle critical workloads. This will help you get a better ROI on your technology while avoiding a wholesale hardware purchase, which could cripple your budget.

If you have any questions about your servers and how you can increase their performance, get in touch with us today. We can help you procure new hardware or explore other alternatives such as server virtualization.

When purchasing new computers, buyers used to have limited choices when it came to what kind of storage they got with their laptop or desktop PCs. But nowadays you can configure your system with either traditional hard disk drives (HDDs), increasingly common solid state drives (SSDs), or in some cases both. Here’s a comparison of both storage drives so you can figure out which best suits your needs.

What is an HDD?

An HDD is basically a storage device in a computer. It consists of metal platters with magnetic coating, a spindle, and various moving parts to process and store data. The common size for laptop hard drives is the 2.5” model, while a larger 3.5” model is usually found in desktop computers.

What is an SSD?

An SSD is another type of data storage that performs the same job as an HDD. But instead of storing data in a magnetic coating on top of platters, an SSD uses flash memory chips and an embedded processor to store, retrieve, and cache data. It is roughly about the same size as a typical HDD, and resembles smartphone batteries.

HDD and SSD comparison

The differences in capabilities between the two storage devices can be grouped into six categories:

1. Speed

This is where SSDs truly prevail. While HDDs need a long time to access data and files because the disk must spin to find it, SSDs can complete this task 200% faster since data is instantly accessed through flash memory chips. This is why an SSD-equipped PC will boot operating systems within seconds and deliver blazing-fast speed for launching programs and applications, whereas a computer that uses an HDD will take a much longer time to boot the operating system, and will continue to perform slower than an SSD during normal use.

2. Capacity

The largest SSD units have a maximum 100 TB storage capacity. Although there are large SSDs, anything that’s over 1 TB will cost businesses a lot of money. HDDs, on the other hand, have much larger capacities available for much more affordable prices.

3. Durability

HDDs consist of various moving parts and components, making them susceptible to shock and damage. The longer you use your HDD, the more it wears down and most eventually end up failing. Meanwhile, an SSD uses a nonmechanical design of flash storage mounted on a circuit board, providing better performance and reliability, and making it more likely to keep your files and data safe.

4. Noise

An HDD can sometimes be the loudest part of your computer. Even the highest-performing HDDs will emit some noise when the drive is spinning back and forth to process data. SSDs have no moving parts, meaning it makes no noise at all.

5. Heat

More moving parts means more heat, and HDD users will have to live with the fact that their device will degenerate over time. SSD uses flash memory, generating less heat, helping to increase its lifespan.

6. Cost

SSDs are generally much more expensive than HDDs for the same capacity. This is why many budget laptops may only have up to 512 GB of SSD storage.

Despite the high costs and low capacity, however, SSDs are the clear winner over HDDs in terms of performance. While you’re paying more for less memory with an SSD, you’re investing in a faster and far more durable data storage option in the long run.

We recommend using an SSD as the primary storage for your operating system, applications, and most-used programs. Many laptops and computers also allow you to install additional SSDs, so you can upgrade as required if your storage needs grow. Implementing HDD as a secondary storage unit is another great idea, especially if you need a place to store documents and pictures because they don’t need to leverage the incredible access times and speeds of an SSD.

One of the biggest decisions you’ll need to make in the early stages of your business is deciding whether to invest in desktop computers or laptops. Here are some considerations to help you decide.

Portability

The pandemic has driven the majority of businesses to adopt remote work setups. If your business will implement a similar arrangement, investing in laptops is the smart move, as your staff can easily take their device with them anywhere they want to work. However, there may be instances when this can turn out to be counterproductive: if your employees can jump into work mode easily, they may get the impression that they have to work 24/7.

As such, you must not discount desktops altogether. While laptops are light and portable, modern desktop computers aren’t nearly as immobile as they used to be. In many cases, desktop screens are thin and light, and all-in-one desktops are easy to move around.

Memory and speed

Before, desktop computers had more memory than laptops, and they were faster because they had bigger processors. This has now changed, thanks to improvements in laptop technology. But until high-powered laptops become affordable to the general public, desktop computers are going to provide your business with more memory, speed, and power for your money.

How much speed and memory you need depends on the work you do. If your employees’ work mostly entails word processing and emailing, laptops should be enough. But if they need to run gaming software or access heavy media files, better invest in desktops.

Security

A desktop computer is more physically secure because it’s often kept in one location, making it easier to guard. And because a desktop’s internet access is often a single source (whether through Wi-Fi or cable), it’s easier to defend it against malware and cyberattacks.

If you choose to invest in laptops, make sure to have strict policies on how to protect devices that are used outside of the office. Don’t let your staff connect to unsecured networks, and use encryption tools to protect data from unauthorized access. You must also employ mobile device management software to enable your administrator to wipe data clean off laptops should they get lost or stolen.

Price

Laptops, especially the smaller notebook-style ones, are a lot cheaper than desktops. However, desktop computers are also becoming more affordable through local channels and lenient payment terms. And with a capable IT services provider that can provide you with infrastructure or offer cheaper desktop options, cost probably won’t be a deciding factor.

Quality

Although laptop computers provide the convenience of portability, they’re prone to battery and charging cord problems. They are also easily damaged, especially if they are dropped or mishandled. By contrast, desktops are generally sturdier. But when they do experience a problem, repairing them can be expensive.

Final recommendation

The desktop versus laptop debate is an old one, with supporters on both sides touting the advantages of their choice. A growing company usually needs a combination of both types of computers, especially as their needs evolve.

If you have questions regarding choosing the best computer for your company, give us a call. We’ll be happy to assist you in improving your business.

If you’re like most people, you only use your office chat applications for simple, everyday use — to ask someone a question or to touch base with colleagues. But wouldn’t it be great if you could do more things at once in these apps, such as completing tasks and chatting with colleagues all in a single window? Perhaps you’ve already heard of Microsoft Teams’ robust features to accomplish this, but how do you get the most out of the program?

The convenience of chat apps has enabled workers to cut time spent chatting with colleagues and spend more time doing their tasks. What’s more, work-related software is increasingly becoming more mobile- and user-friendly, with apps like Microsoft Teams bringing together several different platforms. Here’s how you can use that to your advantage:

Use SharePoint to store and share files

You might already be using SharePoint to store files and collaborate with your teammates. But did you know that in every Teams channel, you can click the Files tab to share files from SharePoint with team members? You can also access SharePoint files already shared in the channel and use Office Online or Office Desktop to collaborate on those files.

Forward emails into a channel

You get countless emails every day, many of which might be buried in your inboxes. Fortunately, Microsoft makes it easy to forward any email message from Outlook to a Teams channel so they show up in both platforms.

To do this, click the ellipsis (…) next to any channel name and select Get email address. This generates an email address for the channel, which you can copy and use to forward files, documents, and messages.

Stick with a few groups

While you can create as many groups within your organization as you like, going overboard can result in a cluttered messaging interface that overwhelms team members. Instead, you can create groups based on the number of projects and team members involved ー you can always add more if necessary.

Set up audio conferencing

Teams lets you host voice meetings with groups or with just one team member. This is particularly useful when communicating with remote workers or clients, in which case you can give them guest access to your Teams channel. Guest access ensures they’re able to communicate with someone but unable to view private information.

Test communication strategies

Just because some of the features in Teams overlap with other Microsoft platforms, such as Yammer and Skype for Business, doesn’t mean they’re all redundant. Think of it as a chance to test different communication strategies to find out what works best for you. For instance, if most of your clients have a Skype ID, you can use Skype for client calls.

Share conversations with new team members

Teams makes onboarding new hires easy. Rather than forwarding numerous emails and documents to new employees, use Teams to share past conversations and projects with them. This enables everyone to catch up without having to deal with cumbersome documents.

Microsoft Teams and other Office solutions are equipped with plenty of useful features that can take some time to master. But by taking advantage of these tools, you’ll be able to save time and maximize efficiency without having to spend a dime. If you have any questions about Microsoft Office and how it can benefit your business, don’t hesitate to give us a call.

Is it taking too much time to boot or load websites? Different factors can slow down your computer. In this post, we have prepared various tips on how to resolve this.

Clean up your Login Items

The Login Items list (also known as the Startup List) contains all the apps and programs that automatically start when you log in. Having too many Login Items forces your computer to work harder at startup, slowing it down.

You can remedy this by going to System Preferences and selecting Users & Groups. Click on Login Items to see the list of the apps that open on startup. Highlight the apps you want to prevent from launching automatically and click the minus button underneath the list.

Start up in Safe Mode

Your Mac’s Safe Mode can be used to troubleshoot system-wide issues, including problems with particular apps. Booting up in Safe Mode also deletes system caches.

Cache files are temporary data stored on a hard drive to speed up various processes, such as loading websites or certain apps. Unfortunately, some of these files can become corrupted, which results in your computer slowing down. To bring back your Mac’s speed, you will need to clear the cache and delete temporary files.

Starting up in Safe Mode is easy. Just press the Power button and immediately after the computer starts, press and hold the Shift key on your keyboard. Release the key once you see the gray Apple logo and the progress indicator.

If you want to leave Safe Mode, just restart your computer. Make sure not to press any key once the machine starts up.

Upgrade to solid state drive (SSD) storage

An SSD is a disk storage system that uses interconnected flash-memory chips to store your data. It’s faster and more reliable than a hard disk drive (HDD), which stores data in a spinning magnetic disk. HDD has been around for years, but many new computers continue to use it. If your Mac uses HDD storage, upgrading to SSD will amplify its processing speed.

But before you proceed, know that SSD storage costs more than HDD. If you want the same storage capacity offered by your machine’s HDD on your SSD, be prepared to shell out some extra money. Alternatively, you can settle for a much smaller memory capacity and just upgrade to a bigger one once your budget allows it.

Free up storage space

Having too many files can reduce your Mac’s speed. To free up space, just click on the Apple logo located on the top left corner of the screen. Select About This Mac and go to the <Storage tab. Here, you will see how much free space your computer has.

If your Mac’s storage is nearing full capacity, clicking the Manage button will give you four options:

Store in iCloud – This offloads various content, including your files and text messages, to the cloud.

Optimize Storage – This optimizes the TV app storage by deleting videos you’ve already watched.

Empty Trash Automatically – With this option, all items that have been in Trash for 30 days will be automatically removed.

Reduce Clutter – This lets you see the large files stored in your computer, and allows you to delete them manually to save space.

Update to the latest macOS version

macOS updates benefit your computer’s speed in several ways. First, they contain performance enhancements that help your computer run as smoothly as possible. Second, they augment your Mac’s protection against cyberthreats, which can slow down your machine. Updates are free, so you should install them once they become available.

You can also configure your computer to install updates automatically. In System Preferences, select Software Update. Go to Automatically keep my Mac up to date and check the box.

If you’ve tried one or several of these tips and are still experiencing sluggishness, it may be time to consider other options, such as trading in your old Mac for a new one. But before you do that, let us help you explore other ways to improve the performance of your trusty machine. Get in touch with us today.

When it comes to cybersecurity, even small businesses should partner with a managed IT services provider (MSP). Here’s why it’s crucial to partner with an MSP that can implement robust cybersecurity solutions for your business.

The numbers

According to the Ponemon Institute’s 2019 State of Cybersecurity in Small and Medium-Sized Businesses (SMBs) survey, cyberattacks have increased dramatically. Here in the United States, 76% of companies were attacked in 2019, a significant leap from 55% in 2016. Sixty-nine percent of US businesses reported data breaches in 2019, up from 50% in 2016.

The financial consequences have also increased considerably. The average cost spent by companies because of damage to or theft of IT assets and infrastructure increased from $1.03 million in 2017 to $1.2 million in 2019. Costs due to disruption to normal operations increased from an average of $1.21 million in 2017 to an average of $1.9 million in 2019.

The attacks

Globally, the most common forms of attack on SMBs are those that rely on deception: phishing (57%), stolen or compromised devices (33%), and credential theft (30%). Worse, cybercriminals are targeting SMBs more, with reported attacks having increased from 60% in 2017 to 69% in 2019.

Why managed services?

Partnering with MSPs is the most effective way to prevent attacks and protect your business from malicious threats. MSPs offer a full range of proactive IT support that focuses on advanced security, such as around-the-clock monitoring, data encryption and backup, real-time threat prevention and elimination, network and firewall protection, security awareness training, and more.

And because managed services are designed to identify and fix weak spots in your IT infrastructure, you’ll optimize the digital backbone of your business processes. You’ll have faster network performance, a solid business continuity and disaster recovery strategy, and minimal downtime. One of the best things about managed services is that you get a dedicated team of IT professionals ready to assist you for any technology problems you may encounter. This is much more effective and budget-friendly than having in-house personnel handling all your IT issues.

Being proactive when it comes to cybersecurity is the only way to protect what you’ve worked hard to build. If you’d like to know more about how managed services can benefit your business, just give us a call — we’re sure to help.

Without it, businesses cannot compete and succeed. But with technology comes the ever-constant threat of hackers and cybercriminals. That’s why small- and mid-sized businesses need to protect themselves with robust cybersecurity solutions managed by IT professionals.
